Setting up Account

You can configure the number of points you want your employees to give away each month. You can also control the monthly spend on gift cards by setting the maximum gift card redemption amount in a month. If this budget is exhausted new redemptions will have to wait until next month. Your credit card will be charged this amount on the first of every month. We do not store your credit card details in the app. Instead, we use Tango Inc who use a secure (PCI, ISO compliant) infrastructure to store and process credit card transactions. There’s a 3.5% charge for all credit card transactions and for new accounts it can take up to two days for the balance to reflect.

 

 

Configuration setting is accessible only to administrators. Administrators will setup credit card details to process gift cards.

Redeem Points

The "Redeem Points" screen shows the user the points they have received from their peers. Users can select a gift card or a custom award that is within the limit of the points they can redeem. Refer to the screenshot below for an example:

 

Setting up Custom Awards

  1. Navigate to the configuration section, usually located in the top left-hand corner of the application interface.

  2. Within the configuration section, locate and select the option for "Custom Gifts." This option is typically found as the third choice on the top.

  3. Upon entering the custom gifts section, you will see a button labeled "Create New Gift." Click on this button to initiate the process of creating a new gift card.

  4. A pop-up page will appear, providing you with the opportunity to upload an image for the gift card.Enter a suitable and descriptive name that reflects the essence of the award.

  5. Move on to the following tab, where you can specify the number of points to be rewarded upon the redemption of the gift card. Set an appropriate point value that aligns with the significance of the award.

  6. Utilize the last tab, usually named "Instructions," to include any special instructions or details related to the gift card. This section can provide guidance on how to redeem the gift card or outline the benefits associated with it.

  7. Once you have filled in all the necessary information, switch the status of the card to "On" to activate it. This ensures that the gift card is ready for use by anyone within the system.

This is where organizations can customize and make custom awards unique and highlight the culture that promotes core values.

Recurring Awards

Recurring Awards are awards that are automatically sent based on a rule condition. The application comes with a preconfigured set of rules that the admin can enable or disable them based on their applicability to the organization.

Additionally, the admin can set up JQL to enable advanced rules. Any user that matches the JQL condition will receive the award points.

JQL requires Jira development knowledge. We recommend reviewing the JQL with a Jira developer to ensure the syntax is correct and will return the desired results for you.

A step-by-step guide to setting up recurring awards:

  1. Navigate to the configuration section, typically in the top left-hand corner of the application interface.

  2. Select "Recurring Rewards" from the configuration options.

  3. Click "Create" to open the rewarding tab and choose an image for the award.

  4. Provide a descriptive name for the recurring award in the next tab.

  5. Set the frequency of rewards (weekly or monthly), specify the points to be rewarded, and add a meaningful message.

  6. Attach JQL and group recipients by reporter or assignee to ensure awards are given to the right users.

  7. Verify that the tab is active for proper functionality.

  8. Double-check settings and configurations, then click "Done" to create the recurring award.

Rewarding peers:

  1. Open the activity feed.

  2. Locate the "Give reward" tab on the right-hand corner.

  3. Click on the "Give reward" tab.

  4. A pop-up box will appear.

  5. In the pop-up box, select the peer whom you want to reward.

  6. Choose the number of points you want to assign to them.

  7. Include a message explaining why you're rewarding them, highlighting their efforts and acknowledging that their work is being noticed.

  8. In the next tab, you have the option to select a relevant image that personalizes the entire reward process.

  9. Choose an image that reflects the situation or adds a touch of personalization.

  10. Confirm the reward by clicking on the appropriate button or option.

  11. The reward will be sent to the selected peer, and they will receive a notification about it.

  12. Repeat the process for any additional rewards you want to give.

Posting Trivia and Creating a Quiz for team members, follow these step-by-step instructions

 

  1. Navigate to the "Stories" section located in the left-hand corner.

  2. Click on "Stories" to open the tab.

  3. Inside the "Stories" tab, find and click on the "Create Story" button.

  4. Enter a name for the Story that represents the trivia or quiz you are creating.

  5. Specify the number of Reward points you want to award for answering the trivia correctly.

  6. Write the question you want to ask in the designated field.

  7. Provide the correct answer to the question.

  8. Enter two choices (options) for the participants to select from in order to answer the question.

  9. Use one of the tabs to include a fun fact or interesting tidbit related to the question or topic. This can be a piece of information you want your peers to know.

  10. Review the information you have entered to ensure accuracy and clarity.

  11. Once you are satisfied with the trivia content, click on the appropriate button or option to publish the Story.

  12. The trivia quiz will now be available for team members to see and answer.

  13. Participants can select their chosen answer from the options provided.

  14. Once they submit their response, the system will automatically check if their answer is correct or not.

  15. If a participant answers correctly, they will be awarded the specified points.

  16. Repeat the process to post additional trivia quizzes for other team members or for future rounds of trivia.

Stories

Stories are a powerful way to keep the culture and legends alive. These are unique to the organization, and we recommend the team take some time to set up some of the special moments that can be codified. This will allow the team members to reciprocate the same and share key wins and special moments during project activities. Refer to the screenshot below for some examples:

 

Shop

The "Shop" is where users can come to redeem points. The gift cards shown will be pertaining to the country of the user. Users can select the gift card of their choice and redeem it for the points they have collected. Refer to the screenshot below for an example:

 

Redemption of the reward points that are earned:

  1. After earning a substantial amount of reward points, follow these steps to redeem them:

  2. Go to the fourth tab in the left-hand corner of the interface, and click on it to access the shop section.

  3. Within the shop, you will be presented with a range of options, primarily consisting of gift cards.

  4. Review the available gift cards and choose the one that aligns with your preferences, needs, or interests.

  5. Decide on the specific number of reward points you want to redeem for the selected gift card. Consider the value of the gift card and the balance of your accumulated reward points.

  6. Enter the chosen amount of reward points you wish to redeem for the selected gift card. This should be within the limit of your total earned reward points.

  7. Verify the redemption details, ensuring that the number of reward points and the selected gift card are correct.

  8. Look for the "redeem" button or a similar prompt located at the bottom of the interface and click on it to initiate the redemption process.

  9. Once you have selected the redeem option, the system will process your request and generate the chosen gift card for you.

  10. Make use of the gift card according to its terms and conditions. It can be used for personal purposes or gifted to someone else.
